First Time Log-In Instructions If You Had a Profile in the Old System:
The upgraded system allows you to do a search without logging in. Log-in is only necessary if you wish to complete a booking or use the enhanced search features designed specifically to access web and promotional fares on Southwest Airlines.
Please do the following to log-in for the first time.
- Log-in is now accomplished by using your regular e-mail address. It is no longer necessary to input a special user-name. The upgraded system will only recognize your e-mail address. It will not accept your User-name applicable to the old system.
- To enter for the first time, click on Register in the upper right corner of the screen and input the requested information. In addition to granting first time access, the system will send a password to the e-mail address entered to use with your second entry. At that time, you may change the password to one of your choice or continue to use the one generated by the system.
- The upgraded system has been programmed to automatically connect to the current information from your traveler profile resident in the old system with the submission of your first booking request. Do not be concerned if your profile information is not visible after initial log-in if you have not yet completed an actual booking. The connection will occur with the submission of your first booking request, not initial log-in or a search.

Authorized Travel Procedures
If you are making travel arrangements authorized for direct bill to your organization, please follow these steps.
Special Note: If applicable, you will need to input the code provided by your organization authorizing direct billing of your airline ticket at the end of the booking process. If you do not know this code, please refer to the information you received or contract your travel/meeting coordinator.
Bookings are cross referenced to the authorized traveler list for each meeting before ticketing.
- Click the Book Online tab above; search and select your desired flights.
- After selecting desired flights, register by entering your email and first/last name. The password necessary for your next entry will be sent by email.
- If you wish the system to apply and retain your airline frequent flyer number/s or other information, click on My Profile in the upper right corner of the screen. Select the applicable tab; input the pertinent information and save.
- Please be sure to complete all information requested by the system to finalize your booking. As noted above, you must enter the Billing Code received from the association in the appropriate box. Your ticket cannot be issued unless this Billing Code is entered correctly.
- Payment for the ticket will be changed to the association card on file to be used for this meeting and requires no action on your part.
- After cross reference to the authorized traveler list for this meeting and QC for verification that the lowest available flight cost was selected, your ticket will be issued.
- You will receive a “flash” confirmation by email acknowledging your booking which is pending final ticketing. This is not your final itinerary and cannot be used for flight check in.
- You will receive a final itinerary by email including all relevant information including the airline confirmation number necessary for flight check in.
